Privacy Policy
This page explains what we collect when you use this website or hire us, why we collect it, and how to get a copy or have it deleted. We do not sell your information to anyone.
Email us and we will remove your details from our records, unless tax or legal rules require us to keep them.
We do not sell, rent, or trade your information. It goes to the tools that run our business, and nowhere else.
A name, an email, a phone number, and what you want built. We do not ask for anything we have no use for.
01Who we are
Charlotte Web Design PRO builds and maintains websites for small businesses, and provides SEO and reputation management services. Our office is at 310 North Polk Street, Suite 200, Pineville, NC 28134.
In this policy, "we" and "us" mean Charlotte Web Design PRO. "You" means anyone visiting this website, contacting us, or hiring us. Our website address is https://charlottewebdesign.pro.
02What we collect
We collect information in two ways: what you type in and send to us, and what your browser reports automatically while you read the site.
Information you give us
| Where | What we collect |
|---|---|
| Quote and contact forms | Your name, email address, phone number, business name, and whatever you tell us about the project |
| Free demo email capture | Your email address, so our designers can send you the homepage design |
| Newsletter signup | Your email address |
| Phone calls | Your phone number, and the notes we take about what you need |
| Becoming a client | Billing details, plus the logins and account access needed to do the work you hired us for |
| Blog comments | The name and email you enter, plus your IP address and browser details, used for spam filtering |
Information collected automatically
Like most websites, ours records your IP address, browser and device type, the pages you viewed, how long you stayed, and the site or search that sent you. We use this in aggregate to see which pages are working, not to identify you personally.
Confirm Name the analytics tool actually installed, and state plainly whether calls are recorded or only logged.
03Why we collect it
Each piece of information has a job. We use what you give us to:
- Reply to you. Answer your question, quote the work, or call you back.
- Send the free homepage design you asked for, and follow up on it once or twice.
- Deliver the work. Build, host, and maintain your site, or run your SEO and reputation work.
- Invoice you and keep the records our accountant and the tax authorities require.
- Send updates you opted into, which you can stop at any time using the unsubscribe link.
- Improve the site, by seeing which pages get read and which forms get abandoned.
We do not use your information to build advertising profiles, and we do not run ads on this website.
04Cookies and tracking
Cookies are small files a website stores in your browser. Ours fall into three groups.
- Essential cookies keep the site working, remember form entries, and let administrators stay logged in.
- Preference cookies remember choices such as details you have already filled in, so you do not retype them.
- Analytics cookies count visits and page views so we can see what the site is doing.
You can block or delete cookies in your browser settings at any time. Essential cookies are the only ones the site needs, so blocking the rest will not break anything.
If you leave a comment, you can opt in to saving your name and email in a cookie so you do not have to enter them again. Those cookies last a year. Login and screen-preference cookies for administrators last between two days and a year.
05Who we share it with
We share information only with the companies that help us run the business, and only as much as they need. That includes our website host, our email provider, our analytics tool, and our payment processor.
Each of those providers is bound by its own privacy terms. We do not sell, rent, or trade your information, and we do not pass it to any other business for marketing.
We will disclose information if the law requires it, for example a valid court order, or if it is needed to protect someone's safety or defend our legal rights.
Confirm Name the host, email platform, and payment processor here. Naming them reads far more trustworthy than "our service providers".
06How long we keep it
- Enquiries that did not become work: kept while there is a reasonable chance of working together, then deleted on request.
- Client records, contracts, and invoices: kept as long as tax and accounting rules require.
- Newsletter subscribers: kept until you unsubscribe.
- Comments: kept with the post so follow-up comments can be approved automatically, and removed on request.
- Analytics data: kept in aggregate, with no attempt to tie it back to you.
07Your rights
Whatever state or country you are in, we will honour these requests:
- See it. Ask for a copy of the personal information we hold about you.
- Fix it. Ask us to correct anything wrong or out of date.
- Delete it. Ask us to erase it, except where we must keep it for legal or accounting reasons.
- Stop the emails. Unsubscribe from any marketing message, using the link or by replying.
- Object. Tell us to stop a particular use of your information.
Email hello@charlottewebdesign.pro and we will respond within 30 days. We may ask a question or two to confirm it is really you before we act.
08Client sites and accounts
If you hire us, the work usually means we hold access to systems that belong to you. We treat that access as yours, not ours.
- We may hold administrator logins to your website, hosting, domain, Google Business Profile, analytics, or Search Console.
- We use that access only to do the work you asked for, and we act on your instruction.
- Any customer data inside your systems stays yours. We do not copy it, use it, or market to it.
- Your domain stays registered in your name, and you keep your own administrator login from day one.
- You can request a full copy of your site files at any time.
- When our work ends, we remove our access on request and hand over anything still in our possession.
09How we protect it
The site runs over an encrypted SSL connection, software and plugins are kept patched, and access to client accounts is limited to the people doing the work.
No website or storage method is completely secure, so we cannot promise absolute safety. What we can promise is that if a breach ever affects your information, we will tell you promptly and say what happened.
10Children
This is a website for business owners. It is not directed at children, and we do not knowingly collect information from anyone under 16. If you believe a child has sent us information, email us and we will delete it.
11Other websites
Our pages link out to client sites, portfolio examples, and reference sources such as Google's own documentation. Once you follow a link, that site's privacy policy applies, not ours.
Some pages embed content from other services, such as a map or a video. Embedded content behaves as though you had visited that service directly, so it can set its own cookies and track your interaction with it.
12Changes to this policy
When our tools or services change, we update this page and change the date at the top. Significant changes affecting current clients get an email as well.
13Contact us
Questions about this policy, or a request about your information? Reach us any of these ways.
Still have a question about your data?
Call and ask. You will reach the person who actually holds the account, not a support queue.
